AI’s Place in Automotive Aftermarket Shops - PART 2

Barry Alt • December 13, 2025

How artificial intelligence can power your company’s engine behind the scenes.

Artificial intelligence won’t replace your best workers. But it can assist with locating quality employees. The key to using AI to find the right person for your shop is asking AI the right questions and being specific about your needs, such as the skill level, special skills, tools required, location and type of employment, for example.

Using Deep Search in ChatGPT is the best way we’ve found to use AI to find new skilled team members searching to fill that needed spot in your shop. AI will search the web, including social media, Reddit, Craigslist and job-wanted sites.

PRO TIP: Be as specific as you can with your AI prompts. The more info you input, the easier it is for AI to narrow down the right candidates for the job and the better results you’ll have. Editor’s note: This is the second of a two-part article on integrating artificial intelligence (AI) into automotive aftermarketshops. Part I ran in the November 2025 issue of THE SHOP magazine.

RECOMMENDED AI SYSTEMS

There are tons of AI tools out there, but some are specifically designed to meet the needs of aftermarket auto shops like yours. Here are a few we recommend looking into that are AI-powered or work well with other
AI tools:
• CALENDLY: Say goodbye to the back-and- forth of scheduling appointments once and for all. Calendly lets customers book a time that works for them, sends automatic reminders and keeps your calendar organized without you lifting a finger.
• CLICKUP:  A cloud-based project management platform that helps teams plan, organize and track work through customizable tasks, views and collaboration tools.
• FISHBOWL INVENTORY: Never run out of the vital parts you need again. Fishbowl monitors your inventory and predicts what you’ll need for upcoming jobs. The best part? It can even place orders for you
automatically.
• MAILCHIMP: Email might have been fun once upon a time, but as important as it is, we’ve all got better things to do than draft another marketing message. Mailchimp’s AI can help you create email updates, follow-ups and promotions that sound just like you.
• MECH AI:  When a weird engine problem has your technicians stumped, MECH AI can save the day. It sifts through vehicle data to suggest likely fixes, so your team can diagnose and repair cars faster than ever.
• SHOPMONKEY: This super-handy tool helps you track every job happening in your garage, with an easy way to lookat each bay, so nothing gets overlooked.
Other Industry Tools: AI is also built into platforms from companies like Bosch and Snap-on, adding intelligent features to tools your shop may already be using.
Pro Tip: Focus on tools that solve your everyday pain points. The right software should make your job easier and improve both customer and employee satisfaction.

What AI Can’t Replace

AI excels at handling routine and repetitive tasks. Things like drafting emails, creating basic content, confirming appointments, predicting maintenance needs, and searching for parts are all areas where automation shines.

But there’s a line it can’t cross.

If every entry-level task is handed off to AI, new technicians miss out on learning the fundamentals. Over time, this creates experience gaps that can impact quality, efficiency, and customer satisfaction.

The most successful aftermarket shops are the ones that pair AI with strong mentorship, hands-on training, and intentional team development.

Here’s where people still run the show:

  • Hands-On Problem Solving: Complex engine issues, custom suspension setups, and unique builds require experience and intuition.
  • Mentorship and Training: Teaching new techs how to measure, fabricate, and fine-tune parts requires real-world guidance.
  • Customer Communication: Understanding a customer’s vision, explaining options, responding to feedback, and building trust are deeply human skills.

Pro Tip: Schedule time for your team to work on projects without AI assistance. It keeps skills sharp and confidence high.

Common Mistakes to Avoid When Using AI

AI can feel like a silver bullet, but it’s not foolproof. Avoid these common pitfalls to ensure your investment actually pays off.

Relying Too Heavily on AI

Automation is helpful, but it still needs oversight. Always have a knowledgeable team member reviewing AI-generated work and making the final call.

Using Tools That Don’t Integrate

Not all software plays nicely together. Before investing in any AI platform, confirm it integrates with your existing shop management systems. Skipping this step can lead to clunky workflows, manual data entry, and costly mistakes.

Skipping Training

AI tools are only as effective as the people using them. Proper training ensures your team understands how to use each system correctly and confidently. A small investment in training time can prevent errors and dramatically improve results.

Copyright Risks

AI can generate content quickly, but it can’t determine what’s copyrighted. Always review AI-generated blogs, ads, and social posts for originality and alignment with your shop’s voice. Even when content looks good, continue editing it to make it your own.

Poor Prompting

AI is only as powerful as the prompts you give it. Be clear, detailed, and intentional.

You can even tell AI how to act. For example: “Act as an ASE Certified Master Technician and help me diagnose…” Starting with the right context leads to better, more accurate answers. Spend time learning basic prompt engineering and experimenting with how you communicate with AI to get the best results.

Frequently Asked Questions

Can AI improve estimates?

Yes. By analyzing past jobs, AI can identify patterns and help create more accurate and consistent quotes.

Is AI hard to set up?

Most tools are designed to be user-friendly, so you don’t need to be a tech expert to get started.

Will AI work with my current software?

Often yes, but not always. Always confirm compatibility before purchasing new tools.

Can AI handle ordering parts?

Absolutely. With the right software, AI can track inventory in real time, predict upcoming needs, and alert you when stock is low.

Will AI replace office staff?

No. AI works best as a support tool, not a replacement. Humans are still essential for many tasks, especially those involving judgment, communication, and relationships.

Key Takeaway

AI isn’t here to take over your shop. It’s here to help you work smarter, not harder. From faster diagnostics and smarter inventory management to improved scheduling and marketing, the right AI tools can save time and reduce repetitive work. But people still matter. Mentorship, hands-on expertise, customer relationships, and creative decision-making can’t be replaced by software. Start small. Choose tools that fit your shop’s needs. Use AI to support your team, not replace it.
